How we collect your information
We may collect information when you:
- Visit or create an account on our website
- Book, attend or enquire about a course
- Download a brochure or complete a lead form
- Subscribe to receive emails
- Contact us by email, telephone, social media or messaging service
- Complete a survey, assessment, accreditation or certification process
- Interact with our advertising or social-media pages
We may also receive information through service providers that help us operate our website, bookings, advertising and communications.
How we use your information
We may use your information to:
- Provide a brochure, answer an enquiry or supply information you requested
- Process and administer course bookings
- Maintain training, qualification, certification and accreditation records
- Manage website accounts and customer service
- Send administrative information about a booking, course or account
- Send marketing emails where you have consented, or where another lawful permission applies
- Improve our courses, communications, website and advertising
- Protect our website, systems, customers and business from misuse or fraud
- Meet our accounting, legal, regulatory and insurance obligations
Our lawful reasons for processing
Depending on the circumstances, we process personal information because:
- It is necessary to fulfil a contract with you or take steps you requested before entering a contract
- You have given clear consent, including consent to receive marketing emails
- We have a legitimate business interest, such as responding to enquiries, improving our services or protecting our systems
- We must comply with a legal obligation
- It is necessary to establish, exercise or defend legal claims
You may withdraw marketing consent at any time by using the unsubscribe link in our emails or contacting admin@kcracademy.com.
Withdrawing consent does not affect processing that was lawful before consent was withdrawn.
Meta lead forms, Zapier and Constant Contact
When you complete one of our forms on Facebook or Instagram, Meta provides the information you submit to KCR Academy.
We may use Zapier to transfer this information securely into Constant Contact, our email and contact-management provider. This helps us identify existing contacts, prevent unnecessary duplicate records, add consenting contacts to the appropriate list and provide relevant follow-up information.
Submitting a request for a brochure does not automatically require you to consent to ongoing marketing. Where required, we will provide a separate marketing choice.
Meta, Zapier and Constant Contact process information under their own privacy terms and as service providers supporting our activities.
Marketing communications
We will send ongoing promotional emails to individuals only where we have an appropriate lawful permission to do so.
Where we rely on consent, the choice will be clear and separate. Consent will not be assumed from silence or a pre-ticked box.
Every marketing email will provide a way to unsubscribe. We retain limited suppression information when someone unsubscribes so that we can respect their preference and avoid contacting them again accidentally.
Who we share information with
We do not sell personal information.
We may share information with trusted providers where necessary to operate KCR Academy, including:
- Website hosting, maintenance and security providers
- Booking, learning and account-management systems
- Payment providers such as Stripe
- Email and contact-management providers such as Constant Contact
- Automation providers such as Zapier
- Advertising and social-media platforms such as Meta
- Video and embedded-content providers such as Vimeo
- Professional advisers, insurers, regulators or authorities where reasonably required
Providers receive only the information needed to perform their services and are expected to protect it appropriately.
International data transfers
Some service providers may process information outside the United Kingdom.
Where this occurs, we take reasonable steps to ensure that appropriate protections are used, such as an applicable adequacy decision or approved contractual safeguards.
How long we retain information
We keep personal information only for as long as reasonably necessary for the purpose for which it was collected.
Typical retention considerations include:
- Enquiries and lead-form information may be retained for up to 24 months after the last meaningful interaction, unless a continuing relationship or another lawful reason applies
- Marketing information is retained while consent or another lawful permission remains valid
- Minimal suppression records may be retained after an unsubscribe to respect that choice
- Financial and transaction records may be retained for the period required by tax and accounting law
- Student, qualification, certification and accreditation records may be retained for as long as reasonably necessary to verify training and professional status
- Website security logs are retained only for an appropriate operational and security period
- Comments and associated metadata may be retained while the relevant content remains published
We may retain information longer where required by law or where necessary for a legal claim.

We may also use optional cookies for analytics, embedded media or advertising. Where the law requires it, these optional cookies will be used only after an appropriate choice or consent has been obtained.
